A Las Vegas transportation company had been successfully managing high-end event logistics since 2004, but growth was creating operational strain. As the founder explained: "We've been in business since 2004... originally it was just around some big events that we could easily manage in Excel, but now the volume is just becoming a time suck and we just need to be more organized."
The challenge wasn't lack of systems—they had multiple Airtable bases handling bookings, vendors, and staff.

The problem was these systems operated in silos, creating manual workarounds and administrative overhead that scaled with every new client.
The Strategic Approach
Rather than rebuilding from scratch, I designed a comprehensive optimization that respected existing workflows while unlocking potential for better business operations on Airtable.
Understanding the Operational Landscape
Through systematic workflow mapping, I identified 24 specific optimization opportunities across their operational ecosystem—from rate sheet integration to COI management to financial visibility.
Foundation Building | ✓Smart job status categorization (Today/10-day/30-day/Future) ✓Jobs dashboard highlighting outstanding payments ✓Integrated rate sheet connections for accurate quoting |
Smart Workflows | ✓Invoice generation through Typeflow integration ✓Payment tracking with automated overdue notifications ✓Vendor cost calculations streamlining accounts payable |
Transformation of Building Your Business Operations on Airtable
The new system shifted the company from reactive problem-solving to strategic planning. The founder noted improved efficiency across multiple areas, with the team reporting fewer errors, less manual work, and more accurate tracking.
Most importantly, the architecture positioned them for growth. Instead of each new booking creating more administrative burden, their workflows now scale systematically—supporting increased volume without proportional overhead increases.
REDUCTION IN ADMINISTRATIVE TASKS | 80% |
INCREASE IN VENDOR COMPLIANCE | 65% |

UNIFIED SYSTEM
✓ Merged bases into centralized framework to create a scalable structure and accessibility

This wasn't just about process optimization—it was about creating competitive advantage. The unified system enables the company to take on larger clients confidently, provide premium service delivery, and make data-driven decisions about strategic growth.
